Transferring existing corporate email from the hoster to Google. What is needed to forward emails? What you will learn to do by watching this video

Almost all news resources reported that in our country access to popular Russian Internet resources. The sanctions list contains (in addition to social networks, maps, office programs, antiviruses) postal services Yandex and Mail.ru. In this regard, owners of mail accounts from Ukraine on these resources may experience real problems with access to your mailboxes, calendars and contacts. To avoid such inconveniences, you can transfer your account to Gmail completely, or continue to use your old one Mailbox, but using Gmail.

Transfer your account to Gmail

First of all, you will need to get a Gmail account. After you log into your mailbox, you need to go to settings. Go to the “Settings” menu => “Account and Import” => “Import mail and contacts”.

The next step is to enter your e-mail and password for the “old” mailbox.

When all procedures are completed, side menu A folder will appear with the name of your “old” mailing address. This folder will contain old letters, and the “Contacts” folder will contain the address book of the “old” account.

It should be noted that such an operation with transferring mail from the “old” mailbox may not work, provided that access to it via postal protocol POP3. In short, it is a special protocol that allows you to receive mail from a server.

Yandex will require access permission via POP protocol 3 manually. To do this, you need to go to “Settings” => “Personal data, signature, portrait”. Then you need to check the boxes next to “From the pop.yandex.ru server using the POP3 protocol.” After this, Gmail will be able to import all your correspondence from Yandex.

Linking the “old” mailbox with Gmail

This transfer method is also fast and convenient. You can continue to use the “old” mailbox, but at the same time log into it whenever Gmail help. The setup is similar to the first method. You will need to go to “Settings” => “Account and Import” => “Add mail account" Next you will be offered the Gmailify service.

After completing these steps, you will be able to choose from which address to send the letter in your mailbox settings.

Your letter will be sent from the “old” mailbox, but using Gmail.

Earlier in the article “” we talked about the fact that wealthy users are more loyal to Ukrainian services, and more and more people are switching to Gmail.com. They are guided by such criteria as mailbox functionality, security, working space, spam protection.

Transferring Mail.RU contacts

Synchronization of contacts of the Mail.RU service does not always take place in automatic mode. Below we will describe and show how to transfer contacts from address book manually.

To get started, log into your account, then click on the list icon. Select "Export Contacts".

Select which contacts you want to export: all or specific groups. Then select the contacts file format "Google CSV" and click "Continue".

Then go to Google mail. Click on "Gmail" and then on "Contacts".

The system will prompt you to switch to the old version of the interface to complete the import.

After downloaded old version interface, click on the “More” button, then “Import”.

Select the download file that you previously saved.

After this you will see your contacts from Mail.RU

Try choosing a recipient. Gmail should accept new contacts right away.

In my work, I often deal with mail hosted by different hosting companies. Despite the fact that quite decent money is paid for hosting, the quality of services is many times inferior to “free” mail servers. Not only is there little space for mail, but its accessibility is most often poor. But when I had a problem with mail hosted by the RBC Hosting Center, the number of problems reached such a level that it was decided to switch to some alternative service.

The choice was small - Yandex's "Mail for Domain" or "Gmail for Enterprise".
After some deliberation, a decision was made in favor of Google because:

  1. This is an “Evil Corporation”, and all businessmen are adherents of evil :)
  2. The post office is located abroad, which makes it a little more difficult to gain access to third party mail.
  3. Weight additional services, both standard (Docs, Calendar) and additional.
  4. Connectivity additional features for money (more space, mail routing, etc.).
  5. Ability to create multiple administrators to manage the entire service.
  6. Well-known stability and quality of service.
  7. Still, the Yandex traffic rules are a clone of Gmail for enterprises.

Registration in the system.

Registration in the system is simple. We go to the address www.google.com/a/cpanel/domain/new and enter your domain (without www).

On next page Enter the login and password for the future administrator.

All. Domain added. Now we can log in and configure the service for ourselves, create mailboxes, register MX records in DNS, and confirm rights to the domain.

But we had one a big problem. The organization has about 30 boxes, they are constantly used, some even on weekends. Therefore, one of the main tasks was to make the transition process as painless as possible.

Transfer of existing boxes and mail.

Creating boxes.
Google has convenient function loading addresses from a CSV table ( Additional tools– Bulk loading).

In Excel or Notepad, create a table of four columns, where the first column is the login, the second is the first name, the third is the last name, and the fourth is the password. Please note that the file must be in windows-1251 encoding (somewhere in the examples a sample file is offered, but it is in UTF-8, such a file will create Russian names with krakozyabl), and the delimiter is a comma. And be sure to indicate your real first/last names, because... this information will then appear in the mail account itself (I wrote “x3” to some accounts, because I didn’t know the data, then I was puzzled when I received a letter from “x3, x3”).

We created such a file and specified passwords for old mailboxes, uploaded the file into the form, the system ate it and said that, depending on the volume, it would process it from several hours to a day. In fact, all the boxes appeared within about thirty minutes.

Mail transfer.
The main part was done, now we had to somehow transfer mail from old mailboxes to new ones and protect employees from problems while using MX records in DNS.

We thought that Gmail has a mail collection feature with which we can connect to our old mail server and pick up mail from there. This would allow us to be on the new one during DNS synchronizations mail interface and have it there old mail and a new one, even if new letters arrive on the old server.

So, we have to hard work– go into each mailbox and set up mail collection from the old server. There's nothing to do, let's go.

We log in to the mailbox (https://mail.google.com/a/domain.ru/), at the first login we enter the captcha, we get into the mailbox. Let's go to Settings - Accounts, there we click on the link “Add your email account”.

And, in theory, we should enter an e-mail there similar to the one we are in, but Google is a corporation that is not only evil, but also cunning, and when we try to enter such an address there, it swears heavily. In principle, this address is used only for visual purposes, so we can safely enter anything there, I just entered the domain with www there, i.e. For example [email protected] . Google withstood this trick and showed a form in which I had already entered the data for collecting mail from this account from the old server. Just in case, the fireman checked the “Save copies” checkbox.

After clicking on the “Add account” button, a trial authorization occurs and if the data is entered incorrectly, you will be asked to correct it. If all is well, the account will be added and mail will begin to be received from it.

After all that has been done, all that remains is to register DNS records on your domain and communicate new mail access settings to all employees. By the way, if employees viewed mail through the web interface, going to a subdomain of the site (for example mail.domain.ru), then you can enter the same address in Google settings ( Service Setup - Email) and register the corresponding CNAME record in DNS (after saving the settings, the system will tell you exactly what to register).

For simplicity, you can register in DNS and SMTP with POP3:

  • smtp CNAME smtp.gmail.com
  • pop CNAME pop.gmail.com

Chagrin.

Not without a fly in the ointment. In any company, a situation may arise when you need to have access to an employee’s email without his knowledge. Just an entrance under it account will not help, because It can immediately delete dangerous emails. Previously, for such cases, the hoster’s mail control panel configured forwarding with the desired box to the mailbox of the controlling person, and the employee did not know that mail from his mailbox was going somewhere else. And with Google, this routing function is only available for paid accounts($50 for each user mailbox), it’s understandable;) We got around this problem rather ugly: we went into each mailbox and set up redirection to a special address, in which we already “sorted” with filters whose letters should be left for reading, and whose letters could be read Don’t look, so we didn’t give employees access to the web interface either - everyone uses email programs.

In Ukraine, President Petro Poroshenko signed a decree introducing new sanctions against Russian companies. This time, the largest players in the IT industry were included in the sanctions list.

By decree of the President of Ukraine, Internet providers are obliged to begin blocking the following Russian social media: “VKontakte” and “Odnoklassniki”, as well as search services Yandex and Mail.ru. In addition, 1C: Accounting was also banned.

If you still have your mailboxes on Mail.ru or Yandex, then you can be without access to mail in the near future. Therefore, it is better to avoid this problem in advance and transfer all mail to the more reliable https://www.google.com.ua.

What errors may occur when importing letters:

If the server error “The server denied access via the POP3 protocol” occurred, then most likely you are using two-step authentication. Enter your application password.

There are cases when POP is disabled; enable it in the settings of the account from which you are importing emails. If it is still unavailable after this, most likely the email service does not work with this protocol.
