We also took a step-by-step look at the process of setting up Windows Mail and Microsoft Outlook Express to receive and send email from your computer. Today, continuing this topic, we will look at configuring other email programs: Outlook Office 2007 and Outlook Office 2003, and try to understand where and how to look for the correct settings for configuring email programs. As an example, we use an abstract mailbox on www.mail.ru with the name and password password

Setting up mail in Microsoft Office Outlook 2007

Microsoft Office Outlook 2007 is included in the Microsoft Office 2007 software package. To launch Outlook 2007, go to Start - Programs - Microsoft Office and select Microsoft Office Outlook 2007. If this program is not in the list, it means it is not installed on your PC. You need to run the installation of Microsoft Office 2007 and select Office Outlook to install on your computer.
To set up Outlook 2007 to work with your email account, you must create a new email account. To do this, select “Account Settings” from the “Tools” menu.

When a delegate responds to a meeting on your behalf, the meeting is automatically added to your Calendar folder. To send a message to the delegate to notify you of the rights you have changed, select the checkbox. If desired, select the checkbox. Unable to access private items in the same folder. Messages sent with the Send by Name permission include the delegate's name and header next to the From field.

Changing delegate rights

When you send a message with Send As permission, only the header name appears. If you want a delegate to be sent a copy of meeting requests and responses, you must assign editor permissions to the Calendar folder and then select Delegate will receive a copy of the meeting messages that are sent to me.

In these tutorials, we will try to solve many common problems that people have when starting out in the computer world.

Check "Internet Email" and click "Next".

Enter your email access details:

the name that will be displayed in letters in the “From” field;
your email address, for example ;
incoming and outgoing mail servers (for mail.ru this is and);
data for accessing email: user (matches the mailbox name) and password for accessing email (in our example this is password);
Check the “Remember password” checkbox so you don’t have to enter it every time you receive and send email.

Setting up a new mailbox with already configured users

One of the most common problems is setting up our mailbox in the email manager. To set up a mailbox, we can find two cases. Let's create a new mailbox with users already configured. . This is the appearance of our mail manager when we have pre-configured the mailbox. As you can see on the left we have our accounts and the different folders that we have.

To add a new mailbox, we need to go to the leftmost tab called “File” and click on it. When we select this tab we will find the following screen. We will get the following screen where all the configured mailboxes will be configured and here we will have the options to add, change or delete mailboxes.

But that is not all. For the mail.ru service, in this window you need to specify additional settings for sending messages. Click the “Other Settings” button and in the window that appears, go to the “Outgoing Mail Server” tab. Check the boxes “SMTP server requires authentication” and “Same as incoming mail server”. Click OK.

If we click "Create" we will skip the pop-up window where we can enter the configuration of our new mailbox. With the first option, “Email Account,” we allow the manager to automatically determine our email account configuration.

Let's choose the second option. And we come to where we have to go into our account configuration. Your Name: This is our name that will be published as an email. Email Address: Our email address. Incoming Mail Server: This field depends on where you registered your domain.

These settings are necessary so that no one can send spam on your behalf.

Already at the stage of creating an email account, you can check the correctness of the specified settings. To do this, click the “Account Verification” button.

Outgoing mail server: similar to the previous section. Username: This also depends on your hosting server, but usually your username is the same email address. Password: The password you entered to access your account.

The last thing we need to do is enter "Advanced Settings" and in the "Outgoing Server" tab, check the box that says our server requires authentication. In this case, our account will already be configured and operational.

No previously configured mailbox

From here, the remaining steps are the same as in the previous section. A shared mailbox is a mailbox that can be opened by multiple users to read and send email messages. Shared mailboxes can also be used to provide a shared calendar, allowing multiple users to schedule and view vacation days or work shifts.

Office Outlook will attempt to connect to your incoming and outgoing mail servers and notify you of the result.

Now in the “Add a new email account” window, you can click the “Next” button. The program will inform you that the mailbox has been created and the settings have been successfully applied. Click "Done."

Shared mailboxes are not supported on mobile devices. Why set up a shared mailbox? Provides a general email address that customers can use to inquire about your business. This allows departmental employees to provide centralized services to employees answering employee questions. Allows multiple users to track and respond to email messages sent to an address. Shared mailboxes allow a specific group of people to track and send email from a common account, such as public email addresses.

You will see your newly created email account in the list. If you want to change any of its settings in the future, use the “Change” button. To delete an account, select it in the list and select “Delete”.

How to connect social networks

When a person in a group responds to a message sent to a shared mailbox, the recipient of that message is the shared mailbox, not the individual user. Shared mailboxes are a great way to manage customer email requests because multiple people in your organization can share responsibility for monitoring the mailbox and responding to requests. This way, customer queries are answered more quickly and related emails are stored in one inbox.

OneDrive cloud storage

Shared mailboxes do not have their own username or password, such as user mailboxes. You can use the following permissions with a shared mailbox. Full Control The Full Control permission allows a user to sign in to a shared mailbox and act as the owner of that mailbox. After accessing a shared mailbox, the user can create calendar items; Reading, viewing, deleting and editing email messages; Create calendar tasks and contacts. However, a user with Full Control permissions cannot send email messages from a shared mailbox unless they have the Send As or In Permissions field permission. Send As Allow "Send As" allows a user to impersonate a shared mailbox when sending an email message. Send on behalf permission The Send on Behalf permission allows you to Send messages on behalf of a shared mailbox. Simply select the service you are using and enter the access password and the software will automatically configure all the technical details, leaving it up to the user to simply read and send messages in any way.

Setting up mail in Microsoft Office Outlook 2003

Microsoft Office Outlook 2003 is included in the Microsoft Office 2003 software package. To launch Outlook 2003, go to Start - Programs - Microsoft Office and select Microsoft Office Outlook 2003. If this program is not in the list, it means it is not installed on your PC. You need to run the installation of Microsoft Office 2003 and select Office Outlook to install on your computer.
To set up Outlook 2003 to work with your email account, as in the previous case, you need to create a new email account. To do this, select “Email Accounts” from the “Tools” menu.

Select a list of contacts. With it, you can integrate multiple email accounts, calendars, and address lists, managing it all from a centralized point of view.

The Account Setup Wizard will launch. Check "add a new email account" and click "Next".

In the window for selecting the server type, check “POP3” for mailboxes on mail.ru, yandex.ru, etc. and click Next.

Additionally, a new vCard mode is included that allows you to view the details of your contacts in detail, making it easier to communicate through a variety of means. This way, access to your mailbox becomes possible anywhere, all with real-time updates and synchronization between information received in the various available tools. Why is the deadline for my letters and files so short? Why can't I recover my files after the deadline?

Enter your user name, email address, and password. Don't forget to check the "Remember password" checkbox. Also enter the incoming and outgoing mail server names for your mail service. For mail.ru email these will be pop3.mail.ru and smtp.mail.ru.

After opening the program, go to the Accounts tab and then select Email. Check the "Remember this password" option. Display name for outgoing messages. Enter the name you have defined for your account. Select the "Manually configure server settings" option. After this option, click Next.

You can set additional parameters for verifying your authenticity when sending mail by clicking the “Other settings...” button. Let us remind you that many postal services require such verification, including mail.ru.
Go to the Outgoing Mail Server tab and check the following options: SMTP server requires authentication and Same as incoming mail server. Click OK to apply the settings.

Go to the "Advanced" tab and the "Server Limits" option, from "Short 1 Minute" drag "Long 5 Minutes". In the "Delivery" section, disable the "Leave a copy of messages on the server" option. Click "Apply" and then "Okay." Your account has been set up successfully.

Step 3: Double-click the email to open your account properties. This screen will appear to set up your account, following the settings already posted. Click 10th option - Advanced Settings. It will open the following screen where you will need to follow the following steps.

As in Outlook 2007, you will have the opportunity to verify that your settings are correct by clicking the "Verify Account" button.

To complete the account creation process, click “Next”, and in the next window “Finish”.

Unfortunately, in Outlook 2003, a newly created account does not appear in the list automatically. To view it, select “Email Accounts” from the “Tools” menu. In the window that opens, check the “view or change existing accounts” option and click “Next”.

You will see the email entry you just created in the list. To change its settings, use the “Change” button, and to delete it, use the “Delete” button. From the same window, you can start the process of adding a new email account by clicking “Add”.

With this, we will finish our consideration of setting up email programs of the Microsoft Office Outlook family and move on to searching for the necessary options on email services.

How to find settings for your email program

We all use different postal services. Some people like mail.ru, some are used to yandex.ru, while others have mail on a site like The settings entered into the mail program will be different for all these services.
Naturally, the name of the mailbox and the password for it are understandable things. But where can I get the names of the POP3 and SMTP servers, and how can I find out whether authentication is needed to send mail or not? Only the owner of the website or hosting where your mailbox is registered can answer these questions.
Let's try ourselves in the role of Sherlock Holmes and find the settings we need. Let's start with mail.ru.
When you log into your mailbox on mail.ru, pay attention to the “help” link in the upper right corner.

Clicking on it will take you to the Mail System Information Center. There are help items on the left: select “Access to your mailbox from mobile devices and from email programs”, and in the drop-down list “Mail programs, accounts, POP3 and SMTP servers”.

By clicking on the link “General settings of mail programs” you will see the options that need to be entered in the appropriate fields of your mail program.
Having dealt with mail.ru, let’s turn our attention to yandex.ru. The logic is the same: we need to find help for the mail service, which will tell you in clear English which POP3 and SMTP servers to use in the mail program settings.
Yandex hid the link to the help right in the very bottom right corner of the page. But we, as professional detectives, quickly found her there.

By clicking on the link, we see a decent help system (http://help.yandex.ru/mail/index.xml) for working with the mail service. In the section “Working with mail without a web interface” - “Mail clients” we can easily find the names of the necessary incoming and outgoing mail servers: pop.yandex.ru and smtp.yandex.ru. There is also reference information on setting up mail programs for working with mail from Yandex.
To complete the picture, let’s check whether Rambler has a similar help system. We go into our rambler mail, and immediately the “Help” link in the upper right corner catches our eye.

By clicking on the link, we see the help system of the Rambler mail service. The information we need is in the section “Using mail programs, POP3, IMAP and SMTP servers”. Here you can find not only the names of POP3 and SMTP servers (which, by the way, are the same - mail.rambler.ru), but also step-by-step instructions in pictures for setting up various mail programs.
As you can see, finding the necessary settings is quite simple. Other email and not-so-mail services also have a “Help” section, where you will find the necessary options for configuring your favorite email program.

What should owners of mailboxes not on public servers do? If you have mail on a corporate or your own website, find out the settings from your provider or hoster. Surely he has a “Help” or “Help” section on his portal. As a last resort, you can call technical support and ask what settings to specify in your email program for receiving/sending mail from your computer.
This is where we will probably end today’s story about setting up email. Enjoy your communication!

Especially for the Yachainik project, Elena Carlton

E-mail is increasingly replacing regular postal mail. The number of users sending correspondence via the Internet is increasing every day. In this regard, there was a need to create special user programs that would facilitate this task and make receiving and sending email more convenient. One such application is Microsoft Outlook. Let's find out how you can create an electronic mailbox on the Outlook.com email service, and then connect it to the above client program.

Mail registration on the Outlook.com service is done through any browser. Type the Outlook.com address into the address bar of your browser. The web browser redirects to live.com. If you already have a registration record with Microsoft, which is the same for all services of this company, then simply enter your phone number, email address or your Skype username, and click on the “Next” button.

If you do not have an account with Microsoft, then click on the inscription “Create one”.

The Microsoft registration form opens in front of us. In its upper part, enter your first and last name, an arbitrary username (it is important that it is not taken by anyone), a created password for logging into your account (2 times), country of residence, date of birth, and gender.

At the bottom of the page, an additional email address (from another service) and phone number are recorded. This is done so that the user can more reliably protect his account, and if he loses his password, he can restore access to it.

Be sure to enter the captcha to ensure the system verifies that you are not a robot, and click on the “Create an account” button.

After this, an entry appears stating that you need to request a code via SMS to confirm the fact that you are a real person. Enter your mobile phone number and click on the “Send code” button.

After the code has arrived on your phone, enter it into the appropriate form and click on the “Create account” button. If the code does not arrive for a long time, then click on the “Code not received” button and enter your other phone number (if available), or try again with the old number.

If everything is fine, then after clicking the “Create account” button, the Microsoft welcome window will open. Click on the triangle-shaped arrow on the right side of the screen.

In the next window, we indicate the language in which we want to see the email interface, and also set our time zone. After specifying these settings, click on the same arrow.

In the next window, select a theme for the background of your Microsoft account from those offered. Click on the arrow again.

In the last window, you have the option to include an original signature at the end of the messages you send. If you don’t change anything, the signature will be standard: “Sent to: Outlook.” Click on the arrow.

After this, a window opens saying that your Outlook account has been created. Click on the “Next” button.

The user is moved to his Outlook mail account.

Linking an account to a client program

Now you need to link the created account on Outlook.com to Microsoft Outlook. Go to the “File” menu section.

In the window that opens, in the “Email” tab, click on the “Create” button.

A service selection window opens in front of us. Leave the switch in the “Email Account” position, where it is by default, and click on the “Next” button.

The account setup window opens. In the “Your name” column, enter your first and last name (or an alias), under which you previously registered on the Outlook.com service. In the “Email Address” column, indicate the full mailbox address on Outlook.com that you registered earlier. In the following columns “Password” and “Password check”, enter the same password that was entered during registration. Then, click on the “Next” button.

The procedure for connecting to your account on Outlook.com begins.

Then, a dialog box may appear in which you should again enter your username and password for your Outlook.com account and click on the “OK” button.

Once the automatic setup is completed, a message indicating this will appear. Click on the “Done” button.

Then you should restart the application. This will create a custom Outlook.com profile in Microsoft Outlook.

As you can see, creating an Outlook.com mailbox in the Microsoft Outlook application consists of two steps: creating an account through a browser on the Outlook.com service, and then linking this account to the Microsoft Outlook client program.

To configure the program Microsoft Office Outlook To work with your mailbox, you need to add a new account.

To set up your account you will need the following information:

  • your name, which will be displayed in the "From" field for the recipients of your correspondence.
  • Mailbox address: your mailbox address in full with domain (for example, [email protected]).
  • Login: the name of your mailbox without the domain (for example, user).
  • Password: password for your mailbox.
  • : for example, smtp.km.ru / Port: 25 (STARTTLS encryption can be used) or port: 465 (SSL encryption can be used). An SMTP server for sending mail requires authorization, it must be enabled in the outgoing mail server settings.
  • Incoming mail server (POP3): for example, pop.km.ru / Port: 110 (STARTTLS encryption can be used).
  • Incoming mail server (IMAP): for example, imap.km.ru / Port: 993 (SSL encryption can be used).

The process of adding a new account is similar for different versions of Microsoft Office Outlook. There may be differences in the organization of the main menu and some of the names of the settings fields. Below is an example of setting up a mailbox in the interface Microsoft Office Outlook 2013.

If you are using a different version of the program, it will also be useful for you to familiarize yourself with the example. To proceed to creating a new account in other versions of MS Outlook, carefully look through the main menu and find the item. For example, for Microsoft Office Outlook 2007, in the main menu, select "Service", then "Setting up accounts...". In the window that appears, click the button "Create..."(see Fig. 2), subsequent settings will be similar to the example described below.

You can also go to setting up MS Outlook accounts via Windows control panel. To do this, click on the menu button "Start", select item "Control Panel". In the list that opens, find "Mail"- a window will appear "Mail settings - Outlook"(see Fig. 1). Click the button "Accounts"- a list of current accounts will be loaded. To add a new account, click the button "Create..."(see Fig. 2).

According to statistics, each person had to create more than one mailing address (two, or even three). Temporary disposable addresses are needed very often, for example, for registration on various sites, for public viewing on forums and services. After the necessary registration, such an address can be deleted and forgotten.

Previously, to obtain a disposable email address, you had to use services like Pepbot and Sneakemail. The services provided addresses that did not look quite standard, which led to them being blocked on many sites. However, there is now a much better way. Windows Live Hotmail programmers have created the ability for their users to create disposable, temporary email addresses.

If the "Authentication required" message appears, "Sender address rejected: Access denied" or “Send auth command first”, authorization on the Yandex SMTP server is disabled in the mail program settings. Make sure the option is enabled User Authentication(for Outlook Express) or SMTP Authentication(for The Bat!).

If a message appears "Sender address rejected: not owned by auth user", the address from which you are trying to send a letter does not match the one under whose login you are authorized on the SMTP server. Make sure that in the mail program settings, the return address is set to exactly the address from which the login is used in the SMTP authorization settings.

If a message appears "Login failure or POP3 disabled", the mail program cannot access the mailbox using the POP3 protocol. Make sure that the correct password for the mailbox is entered and that POP3 access is enabled in the settings section.

If a message appears "Message rejected under suspicion of SPAM", the contents of your email were recognized by Yandex.Mail as spam. To solve the problem, open Yandex.Mail and send any one letter as a test. This way you will prove to the system that the letters are not being sent by a robot.

Check your computer for viruses using free antivirus programs: CureIt! from Dr.Web and Virus Removal Tool from Kaspersky Lab.

If your mail program does not accept or send letters, check that your mail program settings are correct, as well as your computer’s Internet connection settings.

If you are using an antivirus program, firewall, or proxy server, disable them and see if this reproduces the problem.

Why emails disappear and how to avoid it

The Deleted emails folder is stored for 30 days, and the Spam folder for 10 days. After this, they will be permanently deleted from Yandex servers. Why can emails end up in these folders without your knowledge:

Another user has access to your mailbox

Emails can be deleted by a user who has access to your mailbox: perhaps you forgot to end your session after working on someone else's device. To end your session, click the link in your account menu Log out on all devices. This can also be done on the page - using the link Log out on all computers.

Letters disappear in the mail program

A rule has been configured that deletes or moves letters. Letters disappear in the mail program.

If you use a mail program and delete letters in it, they disappear on . This happens because your program is configured using the IMAP protocol - in this case, the mailbox structure on the service is synchronized with the mailbox structure in the program. To delete messages only in the program, but leave them in Yandex.Mail, you can configure the program using the POP3 protocol, but we recommend not doing this: the messages may not synchronize correctly with the server.

A rule has been configured that deletes or moves emails Indicate reliable information in Yandex.Passport and link your phone number to your account. Our security system may have found your account suspicious and blocked your mailbox. Most often, this happens due to the fact that the phone number is not attached to the box or the Passport contains a fictitious first and last name. It usually takes a couple of hours to remove the lock.

If you delete letters in your mail program, but they are still in their folders on the Yandex.Mail website, then most likely your mail program is configured using the POP3 protocol. Due to the peculiarities of the POP3 protocol, messages in the mail program may not synchronize correctly with the server. To work with Yandex.Mail, it is recommended to use the IMAP protocol.
