To track the movements of international postal items (IPO), a postal monitoring system has been developed, the main tool of which is a unique tracking number. This number consists of digital and alphabetic characters, and is also duplicated in the form of a barcode. Modern postal logistics terminals are equipped with barcode scanners and, when the IPO passes through such a terminal, the tracking number data is read and sent to the servers of the international postal monitoring system.

Thanks to this system, it is very easy to find out the location of the MPO. This can be done on the websites of government postal services or private logistics companies. What is a tracking number?

Tracking number is a number for tracking the movement of your cargo, provided by postal services. The tracking number is standardized by the Universal Postal Union and has a strict structure.

The standard international tracking number is XX123456789XX:

  • the first letters indicate the type of shipment, for example, CA-CZ – parcel with tracking, EA-EZ – express parcel sent by one of the international express delivery services, for example EMS, RA-RZ – small registered package with tracking, LA-LZ – small package without tracking
  • Next comes a unique eight-digit code, and the ninth digit is a verification value calculated using a special algorithm,
  • the last Latin letters indicate the country from which the parcel was sent, for example, CN - China, US - USA, DE - Germany.

The seller provided a tracking number, but there is no movement of the parcel.

  • Information in the mail monitoring system may be delayed. The normal situation is a delay of 3-5 days.
  • The seller provided a pre-reserved number, but the package has not actually been shipped yet. Wait 3-5 days and clarify the situation with the seller.

I just paid for the order, and the seller already gave me a tracking number. All this is suspicious.

There is nothing suspicious about this, because abroad there has long been a system for reserving postal items that are purchased in advance. The seller only needs to enter the addressee’s details and print out the finished form with a tracking number.

What information can I get from my tracking number?

Using the tracking number you can get the following information:

  • method of sending MPO;
  • where (export) and where (import) MPO is moving;
  • find out the stages of movement of international goods - export, intermediate delivery points, import, customs clearance, delivery to the addressee within the territory of the recipient’s country;
  • mass of MPO (not always provided);
  • Full name and exact address of the recipient (usually this information is available on official trackers of postal and courier services).

Judging by the track number, the parcel is heading to another country.

  • The seller mistakenly provided the track number of another parcel or confused the numbers. Ask for clarification on this point.
  • There was a failure in the mail monitoring system. The parcel will still be delivered to its zip code and address.
  • The seller deliberately provided a different track number; the parcel might not have been sent at all, hoping for the client’s lack of experience or inattention. Chinese sellers often sin with this.

The IPO tracking number has a non-standard appearance. Why?

The standard tracking number of the form XX123456789XX is specific only to national postal operators that are members of the Universal Postal Union (UPU). There are several common reasons for receiving a non-standard tracking number:

  • The parcel was sent through large private delivery services - DHL Express, UPS, Fedex, SPSR, Meest, etc., which have their own internal standards for generating a tracking number. Typically, this number has only a numeric format and is tracked on the websites of these services or on aggregator trackers;
  • The package was sent from China via local carriers.
  • The seller made a mistake when writing the tracking number. Here you need to check with the seller that the number provided is correct;
  • the seller knowingly provided a false tracking number in order to deceive the customer. This is typical for Chinese sellers on Aliexpress. In this situation, only a dispute will help.

My order was sent through a national postal operator, but they did not provide me with an international tracking number. Why?

Not all postal items automatically receive an international tracking number. The fact is that all MPOs are divided into “small packages” and “parcels”. A standard small package (parcel) is considered to be a shipment weighing less than 2 kg and is not assigned a tracking number. In some cases, it is possible to register such an IGO for an additional fee and receive a tracking number. MPOs weighing more than 2 kg fall into the category of parcels and are assigned a tracking number, but even in this case it does not always have an international format. Parcels are divided into regular and priority (registered). The latter have an international tracking number.

Who should provide me with the tracking number?

In the case of purchases in foreign online stores and auctions, the tracking number is provided by the seller after payment for the order.

What determines the speed of MPO delivery?

There are a lot of conditions and factors here. The main ones include:

  • choice of delivery method - regular or priority (express) mail;
  • choice of delivery operator - state postal service or private express carrier. The delivery speed of private courier services can be 3-5 times faster than using regular postal services;
  • features of the work of postal operators in a particular country. For example, US Post USPS is much faster than Russian Post;
  • distance between sender and recipient;
  • depending on the time of year, weather conditions, disasters. For example, during the Christmas sales and pre-New Year rush, the flow of parcels increases sharply and postal operators do not have time to process all parcels on time. This causes delays.

When exactly will I receive my parcel?

There is no exact answer to this question. In this case, it is much more accurate to use the concept of expected delivery time. The website of each national postal operator contains information about the average delivery time by one method or another to a specific country. Stores also provide this information when choosing a delivery method.

The situation is clearer with courier carriers - DHL Express, UPS, Fedex, SPSR, etc. In 80% of cases, delivery is carried out the same day or within the next 3 days (if there are no problems at customs).

Delivery times for standard MPOs to Russia from the USA and European countries vary within the following time limits:

  • EMS shipments - 7–14 days.
  • Registered parcels and parcels - 14–30 days (depending on the distance from key centers of international postal exchange).
  • Simple packages and parcels - 18–40 days.
  • The average delivery time for parcels and parcels from China and Southeast Asian countries is about 21–40 days.

I was sent a parcel weighing 1 kg (for example), but according to the track number in Russia, the weight became 0 (or much less than 1 kg). What is this connected with?

This is a very common situation when, after exporting to Russia, the parcel “loses weight” down to 0 grams. It’s just that some sorters are too lazy to weigh each MPO and enter this data into the tracking system.

The second option is sadder. If at any stage of delivery or customs clearance the parcel suddenly loses weight, this may indicate theft of the investment. This is a direct reason to insist on opening the parcel at the post office upon receipt. A parcel with a difference in weight must have a corresponding certificate.

The DHL Express, UPS, Fedex parcel was detained at Russian customs (sent to the store). For what reason?

There are two possible reasons for this:

    Such parcels have only 3 statuses:

    Parcels are not tracked at all stages of the journey, but all important information is present.     Accepted at the post office

    The sender has filled out all the necessary forms, including the customs declaration, and the package has been accepted by a postal or courier service employee. If this is the first status, then the shipment at this stage is assigned an identification number, which is subsequently used for tracking.

    Track number assigned

    The sender has electronically reserved the internal number of the item at Russian Post and will soon transfer the item to the courier or post office.

    Left the reception place what does it mean

    This means that a domestic shipment within Russia or an international shipment from Russia was sent from the post office where the sender handed over the parcel to Russian Post.

    Awaiting shipment from China, Singapore, Finland, Hong Kong, Spain

    Arrived in Russia

    Indicates the import of a parcel to Russia. When a parcel is imported, it goes from the plane to the Russian AOPP (aviation mail transport department). The period of stay for an international shipment at the AOPC depends on the workload of the department, and on average it is 1-2 days.

    At MMPO (place of international postal exchange), the parcel undergoes customs control and registration. After this, service employees prepare the international shipment for dispatch within Russia.

    Reception at customs

    The parcel is transferred to customs inspection, where it goes through an X-ray scanner. If customs officers suspect that prohibited substances or items are being transported, the shipment is opened and inspected in the presence of an inspector. After this (if the fact of transportation of prohibited goods has not been confirmed), the parcel is packed again, an inspection report is attached and sent further along the route.

    The parcel is released by the customs service and transferred to the place of international postal exchange, where it is processed by the department staff.

    Detained by customs

    This status is optional and appears only when customs officers detect a weight exceeding the permissible limit, a value of more than 1,000 euros, and other violations. In this case, the recipient will have to pay additional fees. If there are no violations of customs legislation, the parcel will be released from customs.

    Arrived at the sorting center

    From MMPO the shipment arrives for sorting. There are postal sorting centers in all major cities. As a rule, the parcel is sent to the center closest to the MMPO, where logistics service employees develop the optimal delivery route to the point of issue.

    The shipment has arrived at your nearest post office. Within a few days, postal employees issue a receipt notice and deliver it to the recipient's mailbox.     If the addressee does not arrive within a week, a second notice is issued. A parcel that has been lying unclaimed for a month is sent back.

    MMPO or Place of International Postal Exchange

    What is MMPO? The abbreviation stands for “place of international postal exchange.” MMPO is the place where the parcel is prepared for shipment from the sender’s country. At MMPO, the parcel goes through export customs. MMPOs pack several parcels as one cargo, the so-called dispatch, to increase the efficiency of loading vehicles (trains, cars and airplanes).

    Russian Post operates 13 customs clearance points for postal items. Until 2013, Moscow MMPO processed up to 80% of all incoming international shipments to Russia, which caused a large burden on Russian Post.

    To speed up the delivery time for international parcels, Russian Post has opened two new International Postal Exchange Locations in Yekaterinburg and Novosibirsk.
